Most no-shows are not flakes — they forgot

A no-show costs more than an empty hour. You held the time, you turned somebody else away for it, and you found out too late to fill it. It is easy to take personally, and after a few in a row you start to believe people just do not respect your time. Usually that is not what happened.

What is actually going on

Someone books on a Tuesday for a slot two weeks out. They mean it when they book it. Then two weeks of ordinary life happens, the appointment falls out of their head, and your slot goes quiet. A smaller group did remember, worked out they could not make it, and then told you nothing — because telling you meant phoning during business hours and having an awkward conversation with a person they liked.

Both of those are fixable. Neither is fixed by being annoyed about it.

The reminders that actually work

  • One when they book, so the day and time exist in writing somewhere they can find later.
  • One the day before. This is the message that catches the people who simply forgot.
  • One a few hours ahead for anything early in the morning.
  • Every one of them should let the customer reschedule or cancel by replying — never by calling you back.

That last point matters more than the reminders do. A customer who can cancel in one tap will cancel in one tap, and you get the slot back with enough notice to sell it. A customer who has to ring you and explain themselves will often just not turn up. Make the polite thing the easy thing and most people will do it.

Do not overdo it

Three messages is a reminder. Six is nagging, and people start ignoring all of them — including the one that mattered. Send fewer than you think you should, and stop the moment they confirm.

A cancellation you hear about on Tuesday is a slot you can still sell. One you learn about at the appointment time is just a hole in your day.

The reason to automate this is not that the messages are clever — they are deliberately plain. It is that they go out every single time: for the booking you took while driving, during the week you were slammed, for the customer you would never have remembered to text. The consistency is the whole win.
